To ensure that all campus members are referring to the same definitions for various terms in the data tables

Let me know ( if there are any other terms you feel should be defined. Thanks!

Predoc/postdoc with participating faculty

Referenced in: Table 1

Please ask the faculty member or faculty member's administrator for the names of the grad students and postdocs currently in your lab and those that have trained in the past 10 years. Make sure to let them know not to include rotating or visiting trainees.

Training Grant Eligible (TGE)

Referenced in: Tables 1, 5A + B, 6A +B, 8A + B pt III

US citizens and permanent residents

Faculty's home department

Referenced in: Tables 1, 2

If a faculty member has a split or a joint appointment*, you may list both departments in the submission (the same doe NOT go for trainees - they should be associated to a SINGLE dept/interdepartmental program).

This is typically what the faculty member's PPS home department code is

*split appointment: pay is coming from 2+ departments // joint appointment: pay is only coming from one department

HHS Training Award

Referenced in: Table 1, 8A + B pt III

Here is a link that you can dig into to find the list of awards encompassed in this term. Here at UCI, only NIH training awards would fall in this category (NIH T32).

Federal Institutional Training, Career Development, and Research Education support

Referenced in: Table 3

Instructions state: all currently active, federal institutional training (e.g., NIH T32, T35, AHRQ T32), career development, and research education (e.g., NIH R25, K12/KL2, TL1) support. Please reference the Google Sheet here. This definition encompasses any extramural federal award (NSF, NIH, DOD, DOE, etc.)

Referenced in: Tables 1, 2, 5, 6, 8

Table 1 explicitly states "academic year". For all other areas where the instructions state "year", please utilize the academic year.

Academic Year: September-June

Underrepresented Minorities (URM)

Referenced in: Tables 6, 7

Instructions state: individuals from racial and ethnic groups that have been shown by the National Science Foundation to be underrepresented in biomedical research on a national basis (i.e., Black or African Americans, Hispanic or Latinos, American Indians or Alaska Natives, Native Hawaiians and other Pacific Islanders).

Make a notation that this data is self-reported.

Referenced in: Table 6

Make a notation that this data is self-reported. When requesting disability data, these numbers may need to be aggregated prior to you receiving it, especially if a department's size < 5.

Mean Months of Research Experience

Referenced in: Table 6A

Instructions state: the mean number of months of prior, full-time research experience and range. For many individuals, this value will reflect months of summer research experience or full-time research experience following college. For those with part-time, academic-year research experience for academic credit, convert the part-time experience to full time for reporting here (e.g., 15 hours/week for 8 months = 3 months). Do not include labs associated with a course (e.g. organic chemistry course with lab).

To obtain this information, you may need to reach out to individual graduate departments to have them include this on a questionnaire. *Process improvements to be made*

Referenced in: Table 1

Upon receiving the names of all faculty members in departments/programs, remove the double counts. The total column will be less than the #'s in each department/program.
